Office and Facilities Manager

Petcube products enable people to watch, talk to, play with and feed pets remotely while keeping their pets safe and healthy. We are making the best-selling pet cameras and software, connecting people to their pets.

Petcube is looking for an Office and Facilities Manager to join Petcube team in San Francisco and become our best professional support on day to day basis. As an Office and Facilities Manager, you will assists with office operations, facilities maintenance, travel, scheduling, and participate in special projects collaborating with different departments as needed. We are looking for someone who can always put their best foot forward no matter how difficult of a challenge and who would be happy owning all office operations and creating a joyful work environment. From our side, we will do our best to listen to your ideas on improvements in your area of responsibility and provide the best training in those fields. The role is an excellent match for someone who loves administrative tasks, loves star-ups and adores pets.

Office Management

  • Use creativity and organization to establish an exceptional, world-class work environment with an international team on board
  • Manage office budget, contract and price negotiations with office vendors, service providers, and office lease
  • Manage testing devices for clients, media and influencers, while keeping track and reporting bugs to the appropriate departments
  • Manage product inventories
  • Oversee company and office related policies and processes
  • Collaborate with HR on onboarding and off-boarding processes
  • Organize team outings (team lunches, company parties, and team building activities)
  • Answer our main company phone line and direct calls as required
  • File and scan company documents and administer filing systems
  • Welcome and orient visitors and set an awesome first impression
  • Schedule travel arrangements for executives when needed. Including booking international and domestic travel, hotels, and transportation
  • Provide substantial administrative support to different team members and departments
  • Provide backup and participate in special projects as needed and manage all office related operations and maintenance needs

Facilities and Business Services

  • Manage and execute all mail needs including shipping, receiving and distribution functions. Shipping includes domestics and international and handling large packages
  • Stocked office with food, beverages, and supplies
  • Ensure common areas are accounted for and in serviceable condition. Organize, and clean areas to keep everything neat. This includes tasks such as picking up dishes, loading and emptying the dishwasher. Make sure that kitchen appliances are clean and functional.l Work closely with cleaning crew to make sure office is clean and organize, which includes scheduling carpet cleanings, checking daily trash pick up, and dusting of desks and common areas
  • Assist or outsource minor maintenance work including changing light fixtures, alarm, furnace and air conditioning systems maintenance, and service entrance doors
  • Adjust and replace facility infrastructure consumable items such as water tanks, filters. Restock consumable goods for general use such: paper towels, toilet paper, soaps, and sponges
  • Resolve any minor furniture and equipment repairs. Including routers, printers, standing desks, etc

Requirements:

  • Posses well-rounded knowledge of facility operations and office management
  • Strong understanding of current team communications tools: Google Drive, DropBox, Slack, Salesforce, Skype, etc
  • Excellent written and verbal communication and presentation skills
  • Passion for creating and curating thriving work environments
  • Strong organizational and planning skills
  • Flexibility and readiness to work in an ever-changing environment
  • Flexibility to travel
  • Attention to detail and problem-solving skills
  • Positive attitude and openness to new skills/challenges/projects in a dynamic startup environment
  • Must be able to lift and move heavy boxes at times
