Operations Coordinator

We’re looking for a highly capable and motivated Operations Coordinator to join our team full-time.
This is a hands-on, generalist operations role that touches every part of our business — from logistics and inventory to vendor onboarding, sales channel fulfillment, and administrative processes.
Requirements
- At least 2–3 years of practical experience in operations, logistics, or supply chain coordination
- Proficiency in Google Workspace (especially Sheets!), Slack, and Notion
- Comfortable with C1-level English
- Advanced Google Sheets skills (pivot tables, conditional logic, dashboards, data analysis)
- Exceptional written communication (especially vendor-facing emails and agreements)
- Confidence in reading and fixing operational parts of contracts (payment terms, Shipment and delivery clauses, RMA procedures, etc.)
- Strong data structuring and organizing skills
- Self-starter mindset — able to learn tools and build clear processes independently
Responsibilities
- Coordinate domestic & international shipments, including small parcel logistics
- Manage inbound/outbound processes with 3PLs and carriers
- Handle inventory reconciliation across warehouses and Amazon
- Maintain and update core ops reports (e.g. PO register, inventory status)
- Support vendor portals (Chewy, Petco, Target POL, etc.) and handle POs/invoices
- Participate in product & channel launches (ops side)
- Review & fix operational contract terms (shipping, payment, unit economics, RMA)
- Lead procurement and renewal of US corporate insurance policies (trial-period focus)
- Independently run routine ops tasks (daily/weekly/monthly)
- Propose and execute measurable process optimisation
Nice-to-Have Experience
- Familiarity with Amazon Seller Central (ops side: inventory, shipments, reconciliation)
- Experience using vendor portals (e.g. Target Partners Online, Costco Vendor Hub)
- Knowledge of EDI/integrations like SPS Commerce, eZcom, Flexport (Deliverr), FBM API
- Experience working with WMS platforms and 3PL warehouses
- Exposure to US corporate insurance procurement (General Liability, Workers’ Comp, etc.)
- Hands-on experience with Zapier or other automation tools — we’re especially excited if you bring deeper automation expertise than the current team!
Location & Schedule
- Full-time, remote position
- Flexible working hours
- Must be available for at least 2 hours/day overlap with both US and China time zones
